Company settings

Your company's own details and defaults: name, address, logo, bank details, country, currency, date order, time zone, the defaults for estimates and invoices, invoice categories and units.

What it is for

Company is the first item of the Settings menu group in the office. The page is titled Company settings. It holds what FSMCore needs to know about your business, so new documents start with the right details and every amount, date and time is shown your way.

It is one long form with one Save button. The sections, top to bottom:

Who can use it

Role What they can do
Owner Open the page and change everything on it.

Save

The page has one Save button. It sits at the foot of the form and stays pinned to the bottom of the screen while you scroll, so you can reach it from any section.

  1. Change what you need, in any section.
  2. Press Save, or press Ctrl+S (Cmd+S on a Mac).
  3. You see "Company settings saved".

Nothing is kept until you press Save. That is true for the logo, the categories, the units and the notification addresses too.

Save stores every section in one go, with one exception: Email sending. That section has its own buttons and says so: "Changes in this section apply immediately. The Save button at the bottom is for the other settings on this page." See Email sending.

If a required field is empty or a value is refused, nothing is saved and the field shows the reason. Fix it and press Save again.

Identity

Who your company is on paper.

Field What it does
Legal name Required. Up to 255 characters. The registered name of the business.
Trading name Optional. Up to 255 characters. The name you trade under. When it is filled, it is the name your company is called in emails. With no trading name, the legal name is used.
VAT number Optional. Up to 255 characters. Your tax number.
Company registration number Optional. Up to 255 characters. "Appears as “Reg.” on your invoices and estimates. Enter just the number; the label is added automatically."

The labels VAT number and Company registration number, and the word "Reg.", are the words for Ireland. They can be different for your company's country, and an owner or admin can change them. See Wording.

The legal name, the trading name, the tax number and the registration number are the starting values of the From section of every new estimate and invoice. A document keeps its own copy, so changing them here does not change a document that already exists. See From.

Contact

Field What it does
Address Optional. Several lines.
Email Required. Must be an email address. Up to 255 characters. "Used as the reply-to address on emails sent to your clients and on internal copies."
Phone Optional. Up to 255 characters.

When a client presses Reply on an invoice email, the answer goes to this Email. If your company sends from its own domain, replies follow what is set there instead. See Email sending.

Address, email and phone also start the From section of new estimates and invoices, like the fields of Identity.

Branding

The Branding section holds one field: Logo.

"Appears on PDF documents. PNG or JPG, max 2 MB. To replace the logo, remove the current one first, then upload the new file."

To add a logo:

  1. In Logo, choose the picture file or drop it on the field.
  2. Wait until the upload is finished.
  3. Press Save.

To replace a logo:

  1. Remove the current logo from the field first.
  2. Then upload the new file.
  3. Press Save.

Do it in that order. If you pick a new file while the old logo is still shown, both are lost from the field. Nothing has changed until you press Save, so if that happens, reload the page and start again.

Good to know:

  • The file must be a picture and at most 2 MB. The field has an image editor to adjust the picture before you save.
  • The logo is stored privately. It is not a public web address.
  • The logo is printed on the PDF of invoices, estimates and the completion report.
  • PDFs always use the logo you have now. If you change the logo, an older invoice or estimate printed again shows the new logo. The text of an issued document does not change, only the logo.
  • If the logo file cannot be read when a PDF is made, the PDF is still made, without the logo.

Banking

The Banking section holds one field: Bank details.

Optional, several lines. "IBAN / BIC / account name. Snapshots onto new invoices at creation; appears in the Payment details box of issued invoices. Free-form multi-line: what you type is what renders."

Type the lines exactly as they should print. FSMCore does not check or reformat them.

Your bank details are copied onto each document, so a later change here does not rewrite old documents:

  • A new invoice starts with the bank details that are here at that moment. They are kept on the invoice and can be changed on that invoice. The PDF prints the invoice's own bank details. See From.
  • An estimate takes the bank details when it is issued and keeps them. A draft estimate follows what is here now. See What happens after.

So after you change your bank account, check your open draft invoices: they still carry the old details.

Region and formats

This section decides how amounts, numbers, dates and times look for your whole company: on screens, on PDFs, in emails and on the approval cards of the AI assistant. All five fields are required.

Field What it sets

Number format Separators and the place of the currency sign. See Number format.
Date order Day, month or year first. See Date order.
Time zone Your company's clock. See Time zone.

What follows from these settings everywhere in FSMCore:

  • Money in lists and forms is shown in your company's currency and number format. Money is right-aligned in lists.
  • A list of invoices, estimates or crew invoices shows each document in the currency it was issued in.
  • An empty amount, number or date is shown as "-".
  • Date fields open a month grid, on a phone too, and show the date in your date order.
  • Date and time fields open the same month grid with an hour and a minute box. There are no seconds.
  • PDFs carry their own fonts, so a sign such as m² prints the same on every device. Money, dates and words like "VAT" on a PDF follow your company's settings. An issued document keeps the currency and the words it was issued with.

Country

Required. Type to search the list. FSMCore serves English-speaking countries. Ireland, United Kingdom, United States, Canada, Australia and New Zealand are listed first, then every other country by name.

"Where the company is based. It set the starting values when the company was created. Changing it changes two things: the words your company has not set itself in Settings > Wording, and the currency FSMCore plan prices are shown in. Your currency, formats, time zone, tax rates and units stay as they are here."

So picking another country later does not change your currency, your formats, your time zone, your tax rates or your units. Change those yourself, in this section and in Tax rates.

Two things follow the country at all times:

  • The country's words, such as the tax word, for every word your company has not set itself. See Wording.
  • The currency of the FSMCore plan prices. They are shown in the currency of your country when FSMCore has prices in that currency, otherwise in EUR. This is not the Currency field below, which is for your own documents. See Billing.

Starting values by country

When a company is created, its country gives it these starting values. After that they are yours to change.

Also set at the start:

  • Units: hour, day, week, m², linear m, set, job, item. A company in the United States also gets sq ft, lin ft and yd. See Line item units.
  • Reverse charge statement: an Irish company starts with "VAT on this supply to be accounted for by the Principal Contractor." Other countries start with an empty statement. See Reverse charge statement.
  • Construction tax withholding (RCT): switched on for an Irish company, off for every other country. See Features.
  • Invoice categories: Labour, Materials, Labour & Materials, for every country. See Invoice categories.

Check the starting tax rates against the rules of your own country before you issue documents. See Tax rates.

Currency

Required. "New documents use this currency. An issued invoice, estimate or crew invoice keeps the currency it was issued in."

The list starts with:

  • EUR: Euro
  • GBP: Pound sterling
  • USD: US dollar
  • CAD: Canadian dollar
  • AUD: Australian dollar
  • NZD: New Zealand dollar
  • CHF: Swiss franc
  • SEK: Swedish krona
  • NOK: Norwegian krone
  • DKK: Danish krone
  • PLN: Polish zloty
  • CZK: Czech koruna

Below those comes the currency of every other country in the Country list, in the order of their three-letter codes.

A company has one currency. If you change it:

  • Drafts follow the new currency.
  • An issued invoice, estimate or crew invoice keeps the currency it was issued in, on screen and on its PDF.
  • No amount is converted. The numbers stay as they are, only the currency shown changes.

Number format

Required. "Thousands and decimal separators and where the currency sign goes."

  • English (Ireland): €1,234.50
  • English (United Kingdom): £1,234.50
  • English (United States): $1,234.50
  • English (Canada): $1,234.50
  • English (Australia): $1,234.50
  • English (New Zealand): $1,234.50
  • English (other countries): ZAR 1,234.50

FSMCore is in English only. The list has no other languages, and choosing a format does not translate anything.

Date order

Required. "How dates are shown and typed in date fields."

  • Day first: 28/09/2026, 28 Sep 2026
  • Month first: 09/28/2026, Sep 28, 2026
  • Year first: 2026-09-28

The order is used everywhere a date is shown: lists, forms, date fields, PDFs and emails.

Time zone

Required. Type to search the list. Each entry shows the zone and its difference from UTC, for example "Europe/Dublin (UTC+01:00)".

"History, payments, email history, uploads, the AI chat and "today" (issue and due dates) follow this clock. Times you type, like events, deployments and hours, stay as typed."

In practice:

  • The moment something happened (created, paid, sent, uploaded, signed) is shown on your company's clock, whoever looks at it and wherever they are.
  • "Today" is your company's day. An invoice issued just after midnight on your clock gets that new day as its issue date.
  • A time that a person typed, such as the start of an event, a deployment or logged hours, is never shifted. It stays exactly as typed, also after you change the time zone.

Document defaults

Starting values for new estimates and client invoices.

Field What it sets

Invoice due (days) The payment days of new invoices. See Invoice due days.
Reverse charge statement The legal note under reverse charge lines. See Reverse charge statement.
Default terms The terms text of new invoices. See Default terms.
Pre-select “Email internal copies” when issuing client invoices How the internal copy box starts. See Pre-select internal copies.

One piece of document wording has no field here: the declaration printed above an employee's signature on the weekly hours sheet. It is set from the company's country when the company is created and cannot be changed in the app, because it is legal wording. When the country gave none, the sheet prints: "I confirm the hours recorded above are correct and that I have received my statutory rest entitlements." See The employee version.

Estimate validity

Estimate validity (days): optional. A whole number, 0 or more. "Default validity period for new estimates."

When an estimate is issued, its valid until date becomes the issue date plus this number of days. If the field is empty, 30 days are used. See Issue an estimate.

Invoice due days

Invoice due (days): optional. A whole number, 0 or more. "Default payment terms for new invoices."

When an invoice is issued, its due date becomes the issue date plus the payment days. The payment days are:

  1. The client's own Default invoice due (days), if the client has one.
  2. Otherwise this field.
  3. Otherwise 30.

The due date is kept on the invoice. Changing this field later does not move the due date of an invoice that is already issued. See Default invoice due (days).

This number is for the invoices you send to clients. The invoices subcontractors send you do not use it: each subcontractor has their own due days in their business details. See Business details.

Reverse charge statement

Reverse charge statement: optional, several lines. "Legal note for reverse-charge VAT lines. Renders on a document only when at least one line is reverse-charge."

  • The statement prints only on a document with at least one line on a reverse charge tax rate. A document with normal tax lines never shows it.
  • An invoice keeps the statement as it is here at the moment it is issued. See Tax and reverse charge.
  • An estimate keeps it the same way when it is issued. A draft follows what is here now. See Tax and reverse charge.
  • An Irish company starts with "VAT on this supply to be accounted for by the Principal Contractor." Companies in other countries start with an empty field: type the wording your country needs.

Which tax rates count as reverse charge is set in Tax rates.

Default terms

Default terms: optional, several lines. "Default boilerplate available for documents."

This text is the starting value of Terms on client invoices:

  • a new invoice you add in the office,
  • a deposit or final invoice made from an estimate,
  • a draft invoice the AI assistant writes.

The text is copied into the invoice and can be changed on that invoice. Changing it here later changes no invoice that already exists. See Terms.

Estimates and crew invoices do not use this text.

Pre-select internal copies

Pre-select “Email internal copies” when issuing client invoices: an on or off switch.

"When on, the “Email internal copies” box starts ticked in the Issue and Send windows (and bulk Issue emails the internal copies). Still changeable per invoice. The addresses are under Notifications below (“Company invoice issued”)."

  • On: when you issue or send one invoice, the box Email internal copies (Settings > Company > Notifications) starts ticked. You can untick it for that invoice.
  • Off: the box starts unticked. You can tick it for that invoice.
  • Bulk Issue has no box to tick. It emails the internal copy for every invoice it issues when this switch is on, and for none when it is off.

The internal copy goes to the addresses listed under Company invoice issued. With no address there, nothing is sent. See Notifications and Who gets the email.

Invoice categories

"The buckets your accountant wants invoices split into, offered as a one-tap choice on every invoice: the ones you send clients and the ones subcontractors send you. Seeded with Labour / Materials / Labour & Materials; add and remove freely. An invoice keeps the category it was saved with, so removing one here never changes an invoice that already used it, it just stops being offered."

You can fold this section away.

To add a category:

  1. Press Add category. An empty row appears.
  2. Type the name, for example "Plant hire".
  3. Press Save.

To remove a category, press the delete button on its row, then press Save.

Rules:

  • Every row needs a name, up to 255 characters.
  • No two rows may have the same name. Names that differ only in capital letters ("Labour" and "labour") are saved once.
  • The rows cannot be dragged into another order. The categories are offered in alphabetical order.
  • To rename a category, change the text in its row. Invoices that already carry the old name keep the old name.
  • If you remove every category, no category is offered on invoices. Invoices can still be saved and issued.

Default categories

Below the list are two fields. Both offer the categories of the list above, including one you have just typed and not saved yet. Both show "No default" when empty.

Field What it does
Default category for client invoices "Pre-selects the category on new invoices you send clients. Always changeable per invoice."
Default category for crew invoices "Pre-selects the category on new subcontractor invoices: the admin form and the one subbies fill in themselves."

There are two defaults because the two sides often differ: you may sell materials to clients and pay subcontractors for labour.

If you remove a category that is one of the defaults and press Save, that default is stored as "No default". Pick a new one if you want one.

Line item units

"How you measure what you sell, offered as suggestions on the unit field of every invoice, estimate and subcontractor-invoice line. Seeded with the common set (hour, day, week, m², linear m, set, job, item); add, remove and drag to arrange freely; the unit suggestions on every line appear in exactly this order. A unit can always be typed freehand, and a line keeps the unit it was saved with, so removing one here never changes a document that already used it."

You can fold this section away.

To add a unit:

  1. Press Add unit. An empty row appears.
  2. Type the unit, for example "pallet".
  3. Press Save.

To change the order, drag a row up or down, then press Save. Put the units you use most at the top: the suggestions on every line follow this order.

To remove a unit, press the delete button on its row, then press Save.

Rules:

  • Every row needs a name, up to 255 characters.
  • No two rows may have the same name. Names that differ only in capital letters are saved once.
  • The list is only a list of suggestions. Any unit can still be typed on a line, and a line keeps the unit it was saved with.

What happens after

  • The new settings apply at once, for everyone in your company.
  • New documents start from the new details. Documents that already exist keep their own copy of your company details, bank details and terms.
  • Issued invoices, estimates and crew invoices keep the currency and the words they were issued with.
  • Changes to the company settings, to the country and to the feature switches are recorded: who changed what, and when.
  • Saving the page sends no email and no notification.
  • The AI assistant can change some company settings for an owner or admin: the names, the tax and registration numbers, address, email, phone, bank details, default terms, the reverse charge statement and the two day counts. Each change waits for your approval first.

Common mistakes

I changed the Email sending section and pressed Save, but nothing changed there. Save does not store Email sending. Use the buttons inside that section. See Email sending.

My logo disappeared when I tried to replace it. A new file was picked while the old logo was still shown. Reload the page, remove the old logo first, then upload the new file and press Save.

The logo is refused. It must be a picture file of at most 2 MB. Make the file smaller and try again.

I changed the Country and nothing else changed. That is how it works. The country only set the starting values when the company was created. Change the currency, formats, time zone, tax rates and units yourself. See Country for the two things that do follow it.

"Choose a country from the list." The country is not one FSMCore serves. Pick one from the list.

"Choose a currency from the list (for example EUR)." The currency is not one FSMCore offers. Pick one from the list.

"Choose a number format from the list (for example English (Ireland))." The number format is not one of the seven in the list. Pick one from the list.

"Choose a date order from the list." The date order must be day first, month first or year first. Pick one from the list.

"Choose a time zone from the list (for example Europe/Dublin)." The time zone is not known. Pick one from the list.

An old invoice still shows the old currency. An issued document keeps the currency it was issued in. Only drafts and new documents use the new currency.

I changed the bank details but an invoice still prints the old ones. An invoice keeps the bank details it was created with. Open the invoice and change Bank details in its From section.

I changed Default terms but an invoice still has the old terms. The terms were copied into the invoice when it was made. Change Terms on that invoice.

The due date of an invoice does not follow Invoice due (days). The client has its own Default invoice due (days), which wins. Or the invoice was issued before you changed the setting: its due date is kept.

The reverse charge statement is not on the PDF. It prints only when at least one line uses a reverse charge tax rate. On an issued document it is the statement from the moment of issue.

Bulk Issue did not email the internal copy. Pre-select “Email internal copies” when issuing client invoices is off, no address is listed under Company invoice issued, or Email notifications is switched off in Features.

A category I removed is still on an old invoice. An invoice keeps the category it was saved with. Removing a category only stops it being offered.

The default category went back to "No default". The category it named was removed from the list. Pick another default and press Save.

A supervisor cannot find Company settings. Only owners and admins see and open this page.
