The crew app and This week
What the crew app is, who gets it, what is in its menu, and how the home page This week shows where you are working over the next 7 days.
What it is for
The crew app is the part of FSMCore for people on site. It is made for a phone. Its address is your company's web address followed by /app.
The home page is called This week. It is the first item in the menu and the page you land on after signing in. It shows your cards: where you are deployed, which jobs you are on, what you are booked into, and the snags waiting for you.
The page is called This week and not "Today" on purpose. It covers 7 days, starting today, so you can check in the evening what tomorrow looks like. There is no separate page for today only.
You can put the crew app on your phone's home screen, so it opens like an app: see Put the crew app on the home screen. The account menu (top right) has a link to it: Add to home screen.
The crew app is blue. The office screens are amber and the books are grey, so the colour of the buttons and the menu tells you where you are.
Who can use it
Only a person with the Crew role in the company can open the crew app.
| Role | What they can do |
|---|---|
| Crew | Open the crew app. |
| Owner | Only when they also hold the Crew role. |
| Admin | Only when they also hold the Crew role. |
| Supervisor | Only when they also hold the Crew role. |
| Accountant | Only when they also hold the Crew role. |
A person who was archived by the office cannot get into this company at all, whatever roles they hold.
The office sets roles. See Roles.
The menu
The crew app has one flat menu, with no groups. What you see depends on how you are engaged by the company (employee or subcontractor) and on what the company has switched on. It does not depend on any other role you hold.
| Menu item | Who sees it |
|---|---|
| This week | Everyone in the crew app. |
| My Jobs | Everyone in the crew app. See My jobs. |
| All company jobs | Everyone in the crew app. See All company jobs. |
| My snags | Everyone, only while the company has snagging switched on. See My snags. |
| Log hours | Employees and subcontractors, only while the company has time tracking switched on. See Log hours. |
| My invoices | Subcontractors only. See My invoices. |
| My business details | Subcontractors only. See My business details. |
If the office has not set you as an employee or a subcontractor, you see only This week, My Jobs, All company jobs and, with snagging switched on, My snags.
The account menu at the top right shows your name, Help, Password and two-factor and the sign out link. Two-factor sign-in is optional in the crew app. See Signing in.
You see only your own records
- My Jobs lists only the jobs you are assigned to.
- My snags lists only the snags assigned to you.
- My invoices lists only your own invoices.
- Log hours shows only your own hours.
If you open the address of a job in My Jobs that you are not assigned to, the page is not found.
The This week card
The card This week is on the page by default. Under its heading it says: "The next 7 days: where you're deployed, what else you're on, and anything you're booked into."
It lists the 7 days starting today, on your company's clock. A day with nothing on is left out. With nothing in the whole 7 days the card says "Nothing scheduled this week."
Each day has a heading:
- Today, Tomorrow, or the name of the weekday.
- The date, as day and month, in your company's date order.
- A small Today label on today.
Under each day there can be three kinds of entry.
Deployments
An entry with a green edge. The office deployed you to this job on this day: go here.
It shows:
- The time. The start and end time the office gave you, From 08:00 when only a start was given, Until 16:30 when only an end was given, or All day when no time was given.
- The job title.
- The site name and the site address.
- The note the office wrote for you for that day, if any.
- The job's Notes (for example site access or a map link). Web addresses in it can be tapped.
Tap the entry to open the job in My Jobs.
Only a deployment carries a time. A job has no time of day of its own, so a job you are only assigned to shows no time.
On this job
An entry with a dashed border and the label On this job. You are assigned to this job and that day is one of its working days, but the office did not deploy you personally for the day. Nobody has said when, so no time is shown.
It shows the site name and job title, and the site address. On today's entries it also shows the job's Notes. On later days the notes are left out to keep the week short.
Tap the entry to open the job in My Jobs.
Which jobs appear:
- Only jobs you are assigned to.
- Only on the working days the office ticked for the job, inside the 7 days.
- A job you are deployed to on a day is listed once for that day, as the deployment. When the office deploys you, you are also put on the job's crew, so the job would otherwise show twice.
- Being deployed to one job does not hide your other jobs of that day.
Events
An entry with an indigo edge. A meeting, site visit or call the office booked for you, or that you are attending.
It shows:
- The time: the start and end, or only the start when the event has no end. An event over several days shows From 09:00 on its first day, Until 12:00 on its last day and All day on the days in between. An all day event shows All day.
- The title.
- The type: Meeting, Site visit, Call or Other.
- The location and the notes, if any.
An event shows for the person it is for and for every attendee, on each day it covers. It cannot be tapped: the crew app has no event page. Ask the office to change an event.
The My snags card
On the page by default, only while your company has snagging switched on. Under the heading My snags it says: "Assigned to you and not yet closed. Tap one to see the photos, fix it, and mark it fixed."
It lists up to 20 snags that are assigned to you and are Open or Fixed. Open ones come first, then the soonest due date, then the number. A snag with no due date comes after the ones that have one.
Each snag shows:
- The number, for example S-01, and the title.
- The location and the job.
- Due with the day and month. From the day after the due date, while the snag is still open, it reads in red, ending in "overdue". On the due date itself it is not overdue yet. The day is counted on your company's clock, the same rule the office sees.
- Snag or Damage by others. A fixed snag reads "Fixed - awaiting check" instead: the office still has to check and close it.
A damage report has a red edge, a fixed snag a blue edge, any other snag an amber edge.
Tap a snag to open it. See My snags. With no snags the card says "No snags assigned to you."
Cards you can add
Three more cards are switched off until you add them. See Add cards. Their figures can be up to 10 minutes behind.
My hours this week
Only for a person who can log hours: an employee or subcontractor, while time tracking is switched on.
A bar chart of your own hours per day, Monday to Sunday. Rejected hours are left out. The heading shows the week's total, for example "My hours this week: 37.50". Under it: "Monday to Sunday." with a Log hours link. Tapping a bar opens Log hours. With no hours yet the card says "No hours logged this week yet."
My invoices
Subcontractors only.
A ring chart of your own invoices to the company, counted per status: Draft, Submitted, Approved, Paid, Rejected, Void. The names follow your company's own wording. Under the heading: "Your invoices to the company, by status." with a My invoices link. Tapping a slice opens your invoice list. With no invoice the card says "You have no invoice yet."
My snags by status
Only while snagging is switched on.
A bar chart of the snags assigned to you, counted per status: Open, Fixed, Closed, Not ours. Under the heading: "Snags assigned to you." with a My snags link. Tapping a bar opens My snags. With no snag the card says "No snag assigned to you."
Which cards you see
The page shows your own layout if you made one. If not, it shows the company default, if the office made one. If not, it shows the standard order: This week, then My snags.
A card shows only when you are allowed to see it, whatever a saved layout says:
- My snags and My snags by status need snagging switched on.
- My hours this week needs you to be able to log hours.
- My invoices needs you to be a subcontractor.
A card you may not see is not offered in the lists below and cannot be saved into a layout. An attempt is refused with "This card is not on the list."
Dashboard options
At the top of This week there is a grey button Dashboard options with a ⋮ icon. It opens a menu with:
- Edit layout
- Customise my dashboard
- Edit company default, only for an owner or admin.
The button is hidden while you are in Edit layout.
Who may change what:
| Who | What they can change |
|---|---|
| Everyone in the crew app | Their own dashboard: add, hide and sort the cards they are allowed to see. Only they see the change. |
| Owner or admin (who also holds the Crew role) | Their own dashboard, and the company default that everyone without their own layout sees. |
There is no switch for this and no other role is needed. To add a card, see Add cards or Customise my dashboard.
Edit layout
Use this to move and hide the cards on the page itself.
- Tap Dashboard options, then Edit layout.
- The page says: "Editing your dashboard. Drag a card to move it, x hides it. Done saves; only you see this change."
- Drag a card to move it. On a phone, hold the card for a moment first, then drag.
- Tap the x on a card to hide it.
- Tap Done to save. You see "Your dashboard is saved."
The bar at the top has four buttons:
| Button | What it does |
|---|---|
| Done | Saves the layout. |
| Cancel | Leaves without saving. |
| Add cards | Opens the list of cards that are not on the page. |
| Reset | Asks "Drop your own layout and follow the company default again?" Tap Reset to do it, or Keep editing. After a reset you see "Your dashboard follows the company default again." |
While you edit, links and charts inside the cards do nothing: the card is what moves.
If saving is refused you see "Dashboard not saved" with the reason. If the cards cannot be moved on your device, the bar says so and points you to Customise my dashboard.
An owner or admin also sees Editing: with My dashboard and Company default, to choose which of the two they are changing.
Add cards
- In Edit layout, tap Add cards.
- Tick the cards you want. Each has a short description.
- Tap Add. The cards go to the end of the page. Drag them where you want.
- Tap Done.
When every card you may see is already on the page, the list says "Every card you may see is already on this dashboard."
Customise my dashboard
The same choices in a window, as a list.
- Tap Dashboard options, then Customise my dashboard. The window says: "Sort your cards and choose which ones you see. Only you see this change."
- Under Add cards, tick the cards to add. This part is hidden when every card is already on. The cards go where they are in the list below.
- In the list, drag a row to change the order. Use the Show tick box on a row to show or hide that card.
- Tap Save. You see "Your dashboard is saved."
Reset to company default drops your own layout. You see "Your dashboard follows the company default again."
Only you see your own layout.
Edit company default
Only for an owner or admin. They need the Crew role too, to be in the crew app at all.
The window Edit company default says: "The dashboard everyone in the company sees until they customise their own. A card only shows for people allowed to see it." It has the same Add cards part and the same list to drag. The list holds only the cards the owner or admin may see themselves.
- Save shows "The company dashboard is saved."
- Reset to standard shows "The company dashboard is back to standard."
People who made their own layout keep it. Anyone else who tries is refused with "Only an owner or admin can change the company dashboard."
The bell
The bell icon in the top bar holds your notifications. A notification is only in the app. None of the ones below is also sent as an email. Apart from "Email notification failed", you are never notified about something you did yourself. An archived person gets none of the first eight.
| Notification | When | Button |
|---|---|---|
| "You are deployed to (site)" | The office deployed you to a job. One notification per deploy, with the job and the day, or the first and last day and the number of days. | Open This week |
| "Your hours for the week of (date) were approved" | The office approved your week. It says how many hours and "The week can no longer be changed." One notification per week. | Open Log hours |
| "Your hours for the week of (date) were sent back" | The office sent your week back. It shows the office's note, or "Open Log hours, fix the week and submit it again." | Open Log hours |
| "Your invoice (number) was approved" | The office approved your invoice. It shows the total and "The office approved it for payment." | Open the invoice |
| "Your invoice (number) was rejected" | The office rejected your invoice. It shows "Reason:" and the reason, or "Open the invoice, fix it and submit it again." | Open the invoice |
| "Your invoice (number) was paid" | Your invoice was paid in full. It shows the total. | Open the invoice |
| "Snag reopened: S-01 (title)" | A snag you marked fixed was opened again. It says "The fix needs another look." | Open My snags |
| "Snag assigned to you" | The office assigned a snag to you. It names the snag and the site or job. | Open My snags |
| "Email notification failed" | An email that goes out when you submit something could not be sent. It goes to you, the person who submitted. What you did was still saved. | None. |
There is no notification when an event is booked for you, when you are put on a job's crew without a deployment, when one of your invoices is voided, or when a snag is closed. Check This week for those.
What you do not see
The crew app holds only the screens in the menu. It has no price list, no client prices, no job values or margins, and no AI assistant. A job page in the crew app shows no status in My Jobs, no value, and never the office's own internal notes. You never see another person's hours or invoices.
Payments and RCT: the crew app has no list of the payments the office recorded on your invoice and shows no RCT figure anywhere. My invoices and the invoice page show the status only, so you see Paid once an invoice is paid in full, and you get the notification "Your invoice {number} was paid". A part payment shows in one place only: the invoice PDF prints "Amount paid" and "Balance due", and "PAID IN FULL" with the paid date. See The invoice page.
Dates, times and money
- Dates are shown in your company's date order.
- Moments, such as when a photo was uploaded, are shown on your company's clock.
- Money is shown in your company's currency.
- Times the office typed for a deployment or an event are shown exactly as typed.
Common mistakes
I cannot open the crew app. You need the Crew role in this company, and you must not be archived. Ask the office.
Log hours is missing from my menu. The office has not set you as an employee or a subcontractor, or the company has time tracking switched off.
My invoices is missing from my menu. Only subcontractors have it. Ask the office to check how you are set up.
This week is empty, but I know I am working. The card shows only jobs you are assigned to, on the job's ticked working days, and your own deployments. Ask the office to put you on the job or to deploy you.
A job shows no time. You are on the job's crew but were not deployed for that day. Only a deployment carries a time.
I cannot tap a meeting. Events are shown for reading only in the crew app.
A card I added is gone. The company switched that feature off, or your setup changed. A card shows only while you may see it.
