Snags and damage
How to record snags and damage by others on a job, chase them until they are fixed and closed, and keep the photo evidence.
What it is for
A job can carry two kinds of issue:
- Snag: something in your own work that has to be put right.
- Damage by others: finished work that another trade damaged after you completed it.
Both live in one list with one numbering. Each one has photos from before and after, a status, who it is assigned to, and a history of every change. Everything recorded here is printed on the job's completion report.
Who can use it
Snags are an optional part of FSMCore. They show only when the switch is on (see below).

The menu item Snags (group Operations) and the Snags & damage tab on a job are shown to owners, admins and supervisors.
Switch it on
An owner or admin opens Settings, then Company, and in the Features section switches on Snags, damage reports and completion report, then saves. It adds Snags & damage to every job, the Snags list under Operations, My snags in the crew app, and the completion report with sign-off. Switching it off hides all of these again. Nothing is deleted.
Add a snag
Snags are always added from a job.
- Open the job and go to Snags & damage.
- Click Add snag.
- Fill in What is wrong. This is the only required text.
- Add Where and Notes if they help.
- Add Photos of the issue. They are optional, but a photo of what was reported is the best evidence.
- Open Who and when to assign it, set a due date, and say where the snag came from.
- If you want, open Mark it on a plan and tap the spot.
- Click Save.
The snag gets the next number on that job, for example S-03. You see "Snag S-03 added". If you assigned it to someone else, that person gets a notification.
Report damage by others
- Open the job and go to Snags & damage.
- Click Add damage.
- Fill in What is wrong.
- In Damage details, fill in Caused by and Discovered on. Both are required.
- Leave Chargeable to the party responsible on if you intend to charge for the repair.
- Add at least one photo in Photos of the damage. A damage report cannot be saved without one.
- Click Save.
Owners and admins get a notification that damage was reported.
Paste a list from the main contractor
Use this when you get a snag list by email, in a PDF or from a system like Procore.
- Open the job and go to Snags & damage.
- Click Paste list.
- Paste the text into The list. One line is one snag.
- Check Preview. It shows how many snags will be created and each title. A line that came with its own number shows it as "(their #12)".
- Optional: fill in Their reference prefix (for example "Procore #", up to 100 characters). Each snag then gets a reference made of the prefix and the line's own number, or its position in the list if the line had no number. Leave it blank for no reference.
- Optional: fill in Reported by.
- Check Reported on. It starts as today.
- Optional: choose a person in Assign all to.
- Click Create snags.
How the list is read:
- Blank lines are skipped.
- Every snag is a Snag, never damage by others, and starts Open.
- A number, letter, bullet or tick box at the start of a line is removed. "12. Gap at threshold" becomes "Gap at threshold".
- A number that belongs to the text is kept. "2.14 gap at door" stays as it is.
- The rest of the wording is kept exactly as pasted. A line longer than 255 characters is cut at 255.
- Every snag is created with the source Main contractor list.
- All the snags are created together. If one is refused, none are created.
View a snag
Click a row, or choose View in the row's ⋮ menu. A panel slides in with:
- The number and title, with the kind, status and location under it.
- The details: Job, Where, Notes, Source, Reported, Assigned to, Due, and for damage Caused by, Discovered, Chargeable (Yes or No) and Repair estimate (the estimate number, or "Draft"). Once it applies you also see Fixed, Closed or Not ours because. Empty details are left out.
- Before photos (called Damage on a damage report) and After photos, each heading with the number of photos and each photo with the time it was added. Click a photo to open it full size in a new tab. With no photo, the Before side says "No photo yet" and the After side says "Not fixed yet" while the snag is Open, otherwise "No photo".
- On the plan: the plan or photo with the pin, if one was set.
- History: every change, newest first, with the time and the person. For example "Reported", "Status Open → Fixed", "Reassigned", "Archived", or "Edited:" and what was changed. The history cannot be edited.
Click Close to shut the panel.
Edit a snag
- In the row's ⋮ menu choose Edit.
- Change what you need. When editing you also get Kind and Add photos of the fix. On a snag the first photo field is called Add photos of the issue. Photos you add here are added to the ones already there.
- Click Save changes.
If you change Kind from Snag to Damage by others, the damage rules apply: Caused by, Discovered on and a photo of the damage are needed.
Add photos
- In the row's ⋮ menu choose Add photos.
- Under These photos show, pick The issue as reported or The fix. It starts on The fix.
- Add the photos under Photos with Take photo or Choose from gallery. At least one is required.
- Click Save photos to S-03 (the button names the snag, and counts the photos once they are ready).
Owners, admins and supervisors can do this on any snag. Crew can do it on a snag assigned to them. If you close the window with photos not yet saved, you are asked first.
Mark a snag fixed
Only an Open snag can be marked fixed.
- In the row's ⋮ menu choose Mark fixed.
- Add a Photo of the fix. It is required, unless the snag already has a photo of the fix.
- Click Mark fixed.
The status becomes Fixed and the time and the person are recorded. Owners, admins and supervisors get a notification that it is ready to check. The photo is printed on the completion report beside the "before" photo.
Close a snag
Closing means a manager has checked the fix. Only a Fixed snag can be closed.
- In the row's ⋮ menu choose Close.
- Confirm.
The status becomes Closed and the time and the person are recorded.
Mark a snag as not ours
Use this when the issue is not your responsibility. It works on an Open or Fixed snag.
- In the row's ⋮ menu choose Not ours.
- Fill in Why. It is required. The reason is printed on the completion report, so write it for the person who will read it.
- Click Mark not ours.
The status becomes Not ours and the time and the person are recorded. The completion report prints them as "Decided".
Reopen a snag
A Fixed, Closed or Not ours snag can go back to Open, for example when the fix was not good enough.
- In the row's ⋮ menu choose Reopen.
- Confirm.
The fixed and closed stamps and the "not ours" reason are cleared. The change stays in the history. The photos stay.
The person who had marked the snag fixed gets a notification that it is open again. See Notifications.
Create a repair estimate for damage
Only on a damage report.
- In the row's ⋮ menu choose Create repair estimate.
- The window names the client and the one line the estimate will get. Click Create draft.
- The draft estimate opens. Price it there.
The draft is for the job's client. It has one line, "Repair of damage caused by ...", with the title, the location and the date discovered, a quantity of 1 and a price of 0.00. It has no number until you issue it. Once a damage report has an estimate, the menu shows Open repair estimate instead.
Delete or archive a snag
- Delete is offered only for an Open snag with no photos. Owners, admins and supervisors can do it.
- Archive is offered for any snag that has photos or is no longer Open. Only owners and admins can do it. It removes the snag from the lists and from the completion report. The record and its photos are kept.
In both cases the number stays used. If S-03 is deleted, the next snag is still S-04.
To see archived and deleted snags, use the Deleted records filter.
Restore a snag
Only owners and admins can do this.
- Set the Deleted records filter to With deleted records or Only deleted records.
- In the row's ⋮ menu choose Restore.
- The window Restore S-02? says: "Puts it back on the lists and the completion report. It keeps its number, status, photos and history." Click Restore.
You see "S-02 restored". The snag is back with the status it had.
The list
Operations, then Snags, lists the snags and damage reports of every job. When you open it, it shows only Open and Fixed ones, newest first. There is no button to add a snag here. Add them from a job. Click a row to view the snag. When nothing matches, the list says "No open snags".
Columns

You can sort by #, Job, Kind, Status and Due.
Search
The search box looks in Issue, Where and the Job title. Words can be in any order and small typing mistakes are forgiven.
Filters

There are no bulk actions.
Fields
What is wrong, where, notes
- Kind: only when editing. Required. Snag or Damage by others.
- What is wrong: a short title. Required, up to 255 characters.
- Where: the location, for example a room number. Optional, up to 255 characters.
- Notes: any extra detail. Optional. Printed on the completion report.
Damage details
Shown only for damage by others.
- Caused by: the trade or company that caused it. Required, up to 255 characters.
- Discovered on: the date you found it. Required. Starts as today.
- Chargeable to the party responsible: on by default. The completion report prints whether the damage is to be charged.
Photos
- Photos of the issue (called Add photos of the issue when editing a snag, and Photos of the damage on a damage report): the "before" photos. Optional for a snag. A damage report needs at least one.
- Add photos of the fix: the "after" photos. Only when editing.
Use Take photo to open the phone camera or Choose from gallery to pick existing pictures. You can add several at once. Photos only (JPEG, PNG, GIF, WebP, HEIC), no video. One file can be up to 512 MB.
Who and when
On a phone this section starts closed. Tap it to open.
- Assigned to: the person who will fix it. Optional. It starts on "Nobody yet". The list has the active people who work on site. People who are only admin or only accountant are not listed, unless they are set up as an employee or subcontractor.
- Due: optional date.
- Reported on: required. Starts as today.
- Reported by: who raised it, for example the site manager. Optional, up to 255 characters.
- Source: required. One of Main contractor list, Walkaround, Own inspection, Other. A new snag starts on Walkaround, a new damage report on Own inspection.
- Their reference: the main contractor's own number for it, for example "Procore #214". Optional, up to 255 characters.
Mark it on a plan
This section starts closed, unless the snag already has a plan.
- Plan / photo: pick one of the job's own images. Drawings are listed first, then photos, each marked "Drawing:" or "Photo:". Only images are listed, not PDFs or videos. It starts on "No plan".
- Once a plan is picked it is shown. Tap or click the spot where the issue is. A red pin appears. Tap somewhere else to move it. Remove pin takes it off.
- Choosing no plan also removes the pin.
The pin is shown under On the plan when you view the snag.
The Snags & damage tab on a job
Every job has a Snags & damage section, on both the job's view page and its edit page. It lists that job's snags in number order.
- Buttons at the top: Add snag, Add damage, Paste list.
- Columns: the same as the main list, without Job. Kind, Where and Source are always shown here.
- Filters: Kind, Status, Assigned to, Deleted records. The status filter starts empty, so every status is shown.
- The row ⋮ menu is the same as on the main list. Clicking a row opens the snag.
- With no snags yet it says "No snags or damage recorded".
Statuses

The allowed steps are: Open to Fixed, Fixed to Closed, Open or Fixed to Not ours, and Fixed, Closed or Not ours back to Open. A snag cannot go straight from Open to Closed.
Numbering
Each job counts its own snags: S-01, S-02, S-03. Snags and damage reports share the count. The number is given when the snag is saved and never changes. A deleted or archived snag keeps its number, so it is never used twice.
What crew can do
Crew do not use the screens on this page. In the crew app they have My snags in the menu, which lists the Open and Fixed snags assigned to them, a My snags card on their home screen, and a My snags section on each of their own jobs. The My snags list can be searched by title and filtered by Status (Open or Fixed). There they can open a snag to see its details, photos, plan pin and history, Add photos and Mark fixed with a photo of the fix. They cannot add, edit, close or reopen a snag. A snag that is Closed or Not ours leaves their lists.
The AI assistant
If your company uses the AI assistant, an owner, admin or supervisor can ask it to add a snag to a job or to close, reopen or mark a snag as not ours. Each change waits for your approval on a card first. The assistant cannot add a damage report, because that needs a photo. It can mark a snag fixed only when a person has already added a photo of the fix.
What happens after
- Every snag and damage report on the job is printed on the completion report, with its photos.
- An archived or deleted snag is left off the completion report.
- When a job has at least one snag, damage report or sign-off, the invoice send window offers Attach completion report.
- Owners, admins and supervisors can add the Open snags card to their dashboard. It is not shown until someone adds it.
Notifications
Snags send notifications in the app (the bell). They do not send emails. The person who made the change is never notified about their own change.

Locked photos
A photo of a fix and a photo of damage are evidence. Under Settings, Storage, they are marked as locked, and deleting one asks for an extra confirmation.
Common mistakes

Other things to know:
- You cannot find Add snag on the main Snags list. Open the job and use its Snags & damage tab.
- A closed snag is missing from the main list because the list starts on Open and Fixed. Change the Status filter.
- Delete is missing because the snag has photos or is not Open. An owner or admin can Archive it instead.
