Certifications
How to record a person's safety cards and tickets, with their expiry date and a copy of the document.
What it is for
Certifications keep each person's cards and tickets in one place: what it is, when it runs out, its number, and a scan or photo of it. You can see at a glance which ones have expired.
A certification belongs to the person, not to one company. If the person works for more than one company on FSMCore, each of those companies sees the same list.
Who can use it
Owners and admins. An admin can do everything an owner can. The list is on the person's page in Settings > Users, which supervisors, crew and accountants cannot open.
Add a certification
- Open Settings > Users and open the person with View or Edit.
- Scroll down to Certifications.
- Press New certification.
- Choose the Type.
- Fill in Valid until and Reference / number if you have them.
- Add the Document if you have a scan or photo.
- Press Create. To add another one, press New certification again.
The window does not close when you click outside it, so a half-finished upload is not lost by accident.
The list
Columns

| Valid until | The expiry date in green. The certification is still valid on that date. From the day after it reads Expired with the date, in red. "-" when no date was given. |

Dates show in your company's date format.
Row actions
The ⋮ menu on each row holds:
- Download: saves the document, named after the certification type. Shown only when a document is attached.
- View: opens the document in a new tab. Shown only when a document is attached.
- Edit: opens the form. Press Save changes when you are done.
- Delete: removes the certification after you confirm.
The link behind Download and View works for 5 minutes. If it has run out, press the action again.
Bulk actions
Tick several rows and choose Delete selected to remove them together.
Fields
- Type: required. One of Safe Pass, Manual Handling, CSCS, First Aid or Other.
- Valid until: optional. The date the certification runs out.
- Reference / number: optional. The card or certificate number. Up to 255 characters.
- Document: optional. One file: a PDF, a JPEG or a PNG, up to 10 MB. It is stored privately. In the form you can open or download the file already attached.
- Notes: optional. Anything else worth recording. Use it to say what an Other certification is.
What happens after
- The certification shows on the person's record page and edit page straight away.
- From the day after the Valid until date, the date shows in red and reads Expired. On the date itself the certification still counts as valid. The day changes on your company's clock. FSMCore does not send a reminder, so check the list yourself.
- Adding, changing or deleting a certification sends no email and never sends an invitation.
Common mistakes
- The file is refused. Only PDF, JPEG and PNG files up to 10 MB are accepted. Take a new photo as JPEG, or save the scan as a PDF.
- The upload is refused because storage is full. Your company has used its storage. Free space or change plan. See Settings > Storage.
- Download or View opens an error page. The link is only good for 5 minutes. Go back and press the action again.
- There is no Download or View on a row. No document is attached. Use Edit to add one.
- You cannot find Certifications. It is at the bottom of the person's page. Scroll down: the list loads when it comes into view.
