Everything below is in FSMCore today. Every plan has every feature; plans differ in people, storage and the API.
A job is one piece of work for a client on one of their sites. Tick the days the crew is on site and the job shows on the calendar. The job page holds its crew, photos, drawings, snags, costs, estimates and invoices.
The calendar shows every scheduled job and every event in one place: who is where, and when. Deploy people to a job day by day, with the time they are expected. A deployed person sees it in the crew app and gets a notification.
The crew app is made for the phone of the people on site, with the same login as the office. They see where they are this week, log their hours, follow their jobs and snags, and subcontractors send you their invoices from it.
Write an estimate with lines from your price list, issue it with the next number and give the client the PDF. Mark it accepted or declined, and turn an accepted estimate into the deposit and final invoices.
Every invoice belongs to a job. Issuing it gives it the next number in a series without gaps; email it to the client and follow it from Sent to Part paid to Paid. A mistake on an issued invoice is fixed by voiding it, never by deleting it, and every change shows in its history.
The crew log their hours on the phone, a week at a time: start, finish and break, and FSMCore works out the hours. They submit the week, and the office approves the weeks of employees or sends them back. Download or print the weekly hours sheet of any week.
Subcontractors make and submit their invoices to you in the crew app. The office approves or rejects each one, records what was paid and prints the PDF. FSMCore puts each invoice line on the right job where it can, from the site and the deployments, so the cost shows in that job's margin.
Record what a job cost you that is not on a crew invoice: materials, hire, a skip, fuel. The margin of a job is what it was invoiced, minus its crew invoice lines, approved employee hours and job costs. Only owners and admins see it.
Record snags in your own work and damage by others, with photos from before and after, and follow each one until it is fixed and closed. The completion report puts it all in one PDF, and the client can sign it on a phone. Switch this part on in Settings when you need it.
Keep the lines you quote and invoice in one list, with unit, price, tax rate, category and supplier. Pick a line on an estimate or invoice and its price fills in. Import a CSV file, or let your own AI read a price list from a PDF, a photo or a spreadsheet, with a preview before anything is saved.
Your accountant gets an area of their own with the issued client invoices, the crew invoices and the approved hours, with their payments and history. They can open, download and print each document and file an invoice under the right category. Nothing else can be changed there.
A chat that answers questions, writes texts and reads documents, drawings, spreadsheets and photos. It can look up and change your records, acting as you with your own rights, and every change waits on a card until you press Approve. It uses your company's own AI account and key, so your AI provider bills you directly. More about the AI assistant.
Import your clients, sites and jobs from a CSV or Excel file: an export of your old system or your own spreadsheet, up to 5,000 rows at a time. FSMCore matches the columns by itself, your own AI can suggest the rest, and a preview shows new records, duplicates and every row with a problem before anything is saved. Changed your mind? Undo it within 7 days: the records it added that nothing uses yet are removed.
Owners and admins can download all company data as one ZIP file: every record as a spreadsheet file, every stored file and a PDF of every issued document. It works during the trial and on every plan, and after a plan ends until the data is deleted. The Company, Large and Business plans add a read-only API for other software.
Five roles: owner, admin, supervisor, crew and accountant, and each person works in the area made for them. Two-factor sign-in is required for owners and admins. Each company's data is kept separate from every other, and every change to an issued document shows in its history.
Tax rates are set per company, reverse charge included. Currency, date order and time zone follow your company's settings, and words such as the tax name or the word for crew can be changed. For companies in Ireland, RCT is built in: RCT deducted on payments, site identifiers and an RCT credits list for the accountant.
