Log hours

How you log your hours in the crew app, one week at a time: the days and their fields, the job of a day, submitting the week, taking it back, a week the office sent back, and the weekly hours sheet.

What it is for

Log hours is the page in the crew app where you write down the hours you worked. Its address is /app/log-hours.

  • One week is on screen at a time, Monday to Sunday, with one block per day.
  • For each day you fill in when you started, when you finished and how long your break was. FSMCore works out the hours.
  • Nothing has to be saved by hand. Each change is saved as you make it.
  • When the week is complete you press Submit week. That is your signature under the hours.

The page opens on the current week. When you open it from a notification in the bell, it opens on the week the notification is about.

The office sees your submitted weeks in Crew Time. See Crew Time for the office side.

The word Subcontractor may be different for your company's country or your company's own wording.

Who can use it

Log hours is in the menu of the crew app when all of these are true:

  • You have the Crew role. Without it you cannot open the crew app at all.
  • Your engagement type is Employee or Subcontractor. A person with no engagement type cannot log hours.
  • You are not archived in the company.
  • Time tracking is switched on for your company. An owner or admin switches it in Settings, Features.

With Time tracking off, Log hours is gone from the menu, its address does not open, and the My hours this week card is gone too. Hours already logged are kept and come back when the switch is turned on again.

Role What they can do
Owner Logs their own hours here when they also have the Crew role and an engagement type. Reads and approves everyone's weeks in the office.
Admin The same as an owner.
Supervisor The same as an owner.
Crew Logs, submits, withdraws and prints their own weeks, with an engagement type of Employee or Subcontractor.
Accountant No access to Log hours. They read approved weeks in Hour logs in the books.

The role and the engagement type are two different things. See Role and engagement type.

You see and change only your own hours. Nobody else can type or change your hours, not even the office. The office can only set which job your submitted hours are on. See The job of a day.

Employee and subcontractor

Both log their hours in exactly the same way. The difference comes after Submit week.

What the hours are for Approved hours are a labour cost of the job they are on. A record only. Your pay comes from your invoices.

Change week

Three buttons at the top of the page move between weeks.

Button What it does
Prev Shows the week before.
Current week Jumps back to this week.
Next Shows the week after.

What you typed is saved before the page moves to another week.

You can go as far back or forward as you like. A week with nothing in it shows seven empty days.

The week and its status

Under the title Log hours one line tells you which week is on screen and where it stands. It shows the word Week with the week number, the Monday and the Sunday of the week, and then the status. For example: Week #26, Mon 22 Jun to Sun 28 Jun 2026, Draft. The dates follow your company's date order.

Status What it means Can you change it?
Empty No hours in this week yet. Yes.
Draft Hours are filled in but not submitted. Yes.
Submitted At least one day is submitted. The week is locked. No. Use Withdraw to draft first.
Approved At least one day is approved by the office. The week is locked. No.

A locked week shows the days greyed out, for reading only.

The days and their fields

Each day is one block, headed with the weekday and the date, for example Mon 22 Jun.

Field What to fill in
Start The time you started, in hours and minutes. Tap the field to open your phone's time picker.
End The time you finished, in hours and minutes.
Break (min) Your break in whole minutes, 0 or more. The arrows go in steps of 5. Empty means no break. A break below 0 is refused: the day is not saved, the bar at the bottom reads "Not saved: A break cannot be below 0 minutes." and the day keeps what was saved before. It never adds hours.
Hours Not a field you type in. FSMCore shows the hours of the day: End minus Start minus the break, with two decimals, for example 7.50 h.
Job Optional. Shown only on some days. See The job of a day.

Good to know:

  • A day is saved only once both Start and End are filled in. A day with only a start time is not kept.
  • Hours changes at once when you change a time or the break. So does the weekly total at the bottom.
  • Hours never goes below 0. An End that is earlier than the Start gives 0.00 h. A night shift that runs past midnight cannot be logged as one day.
  • Leave a day you did not work empty.

The job of a day

The Job field puts the hours of a day on a job. It is optional.

  • It is shown only on a day the office has deployed you to a job. On a day with no deployment there is no Job field.
  • The choices are the jobs you are deployed to on that day, and nothing else. Each one shows the site and the job.
  • When you are deployed to exactly one job that day and the day has no hours yet, that job is already filled in for you. This happens only while the week can still be changed. On a submitted or approved week a day with no hours shows no job.
  • When you are deployed to two or more jobs that day, nothing is filled in. Pick the one you worked on, or leave it.
  • The empty choice is No job. You can empty the field, and it stays empty.
  • Under the field it says Optional. The jobs you are deployed to on this day.
  • The job is saved like the times, as soon as you pick it. It is kept only once the day has a Start and an End.

One day carries one job. If you worked on two jobs in one day, pick one and tell the office.

The office can change it later. Once your week is submitted or approved, an owner, admin or supervisor can set, change or remove the job of each day in Crew Time, with Change jobs. They can pick any job of the company, also one you were not deployed to. Your days, times and hours stay as you entered them. See Change the job of hours.

A day that carries a job set by the office shows the Job field with that job, also when you were not deployed that day. If such a week is a draft again and you empty that field, you can only pick the job again when you are deployed to it on that day. On a day with no deployment the Job field then goes away.

Hours with no job are still your hours. They count in your week and on your hours sheet like any other. The office sees them as hours on no job.

Hours logged before the Job field was added (early October 2026) were left as they were. Nothing was filled in for them.

Older hours without times

A day logged before the Start and End fields existed has hours only, no times. Such a day shows its hours in Hours, with Start and End empty. Left alone, it is kept as it is, and it counts in the weekly total.

When you type a Start and an End on such a day in a draft week, the times replace the old hours. The day then counts once, with the hours worked out from the times, in Log hours, on the hours sheet and in the office's Crew Time. The old figure is not added on top. If you then clear the times, the day has no hours. A submitted or approved week cannot be changed this way.

Saving

There is no Save button.

  • Each change saves that day at once, as a draft.
  • The bar at the bottom shows Saving… while it saves, and Saved ✓ when it is done.
  • Changing week with Prev, Current week or Next saves first.
  • Clearing the Start or the End of a day removes that day's draft hours.

A draft is yours alone. The office does not see a week until you submit it.

The bar at the bottom

A bar stays at the foot of the page while you scroll. It shows:

  • The save status: Saved ✓ or Saving….
  • The total of the week, for example 38.50 h. It changes as you type.
  • One button: Submit week while the week is Empty or Draft, or Withdraw to draft while the week is Submitted. On an approved week there is no button.

The same two buttons are also at the top of the page. They do the same thing.

Submit a week

  1. Check the days and the total in the bar at the bottom.
  2. Press Submit week, at the top or in the bar at the bottom. The button is there while the week is Empty or Draft.
  3. The window Submit this week? opens.
    • For an employee it says: Sends the week to your supervisor for approval. It locks until reviewed (you can withdraw it back to draft before then).
    • For a subcontractor it says: Finalises your week: it locks and can no longer be edited (you can withdraw it back to draft). No approval needed; your pay comes from your invoices.
  4. Confirm.

You see Week submitted. The status is now Submitted and the days are locked.

If the week has no draft hours, you see Nothing to submit and nothing changes.

Your signature

Pressing Submit week is your signature. There is nothing to draw or tick.

  • FSMCore records the moment you submitted. That date and time are printed on the hours sheet as Signed, beside Digitally signed by and your name, with a Verification reference.
  • For an employee the sheet also carries the company's declaration above the signature. By default it reads: I confirm the hours recorded above are correct and that I have received my statutory rest entitlements.
  • For a subcontractor the signature reads: I confirm the hours recorded above are correct.
  • If you take the week back and submit it again, the signature shows the moment of the last submit.

So check the hours before you submit. See The weekly hours sheet.

Withdraw a week

You can take a submitted week back to change it.

  1. Open the week. Its status must be Submitted.
  2. Press Withdraw to draft, at the top or in the bar at the bottom.
  3. The window Withdraw this week to draft? says Unlocks the week so you can edit or delete it, then submit again. Confirm.

You see Week returned to draft. The week is a Draft again. Change it, then press Submit week again.

  • Employees and subcontractors can both do this.
  • It only works while the week is Submitted. Once the office approved any day of the week, the button is gone and the week cannot be taken back.
  • A withdrawn week leaves the office's Crew Time list until you submit it again.
  • Your signature is cleared. The next Submit week is a new signature.

Clear a week

Clear week is the red button at the top. It is there while the week is Empty or Draft.

  1. Press Clear week.
  2. The window Clear all draft hours this week? says Deletes every draft entry for this week. This cannot be undone. Confirm.

You see Week cleared, or Nothing to clear when the week had no draft hours.

Only draft hours are removed. Submitted and approved hours are never removed by this button.

A week the office sent back

The office can send back the submitted week of an employee, with or without a note. A subcontractor's week is never sent back.

You are told in two places.

The bell. You get the notification Your hours for the week of (Monday's date) were sent back. Its text is the office's note, or "Open Log hours, fix the week and submit it again." when they typed none. The button Open Log hours opens that week straight away.

The page. Above that week in Log hours an amber box reads The office sent this week back: followed by the note, or The office sent this week back. when there is no note. Under it: Fix the hours, then submit the week again.

What to do:

  1. Open the week, from the bell or with Prev.
  2. Read the note.
  3. Correct the days. The week is a Draft again, so everything can be changed.
  4. Press Submit week.

The amber box and the note go away when you submit the week again. The box also goes when you remove the hours that were sent back, for example with Clear week.

A week that was sent back before this notice existed (before early October 2026) shows no box.

Approved weeks

When the office approves an employee's week:

  • The status is Approved. The days are locked for good.
  • There is no Withdraw to draft and no Clear week. You cannot change an approved week, and Crew Time has no button to undo an approval.
  • You get the notification Your hours for the week of (Monday's date) were approved, with the text "38.50 h approved. The week can no longer be changed." and the button Open Log hours.
  • The hours sheet now carries your employer's signature too.

If an approved week has a mistake, tell the office.

The weekly hours sheet

The hours sheet is an A4 PDF of the week on screen. Its title is Weekly Hours Record.

Two buttons at the top of the page:

Button What it does
Download hours sheet Downloads the PDF to your phone or computer.
Print hours sheet Opens the same PDF in a new tab, so you can look at it or print it without downloading.

Both are hidden on an Empty week. They work on a draft, a submitted and an approved week.

What is on it:

  • The title, the week, and Monday to Sunday under it.
  • The company: its legal name, or its name when no legal name is set, and its registration number when one is filled in.
  • You: your name, and your address and tax reference when they are filled in.
  • One line per day, Monday to Sunday: Day, Date, Start, Finish, Break (min) and Hours. A day you did not work shows "-" and 0.00.
  • The Weekly total.
  • The signature block.

The sheet does not show jobs.

A week that is not submitted yet prints with a box DRAFT: not yet submitted and the line These hours have not been finalised; no signature has been recorded. It has no signature block.

The employee version. The two parties are headed Employer and Employee. Below the table come the company's declaration, then your signature (Digitally signed by and your name, the date and time you submitted, and the verification reference), then your employer's signature: the name of the person who approved the week, with the date and time of approval and its own verification reference. Until the week is approved, that box reads Awaiting employer approval.

The subcontractor version. The two parties are headed Work carried out for and Contractor. Below the table there is one signature, headed Worker: I confirm the hours recorded above are correct., then your name, the date and time you submitted, and the verification reference. There is no second signature.

The sheet has no number. It is made from the hours as they are at that moment, so a sheet printed again after a change shows the new hours.

Who can open your sheet:

  • You, your own only. You cannot open the sheet of another person.
  • Owners, admins and supervisors, from Crew Time in the office, once the week is submitted.
  • The accountant, from Hour logs in the books, once the week is approved.

While your company's access is locked, no hours sheet can be opened.

The My hours this week card

My hours this week is a card for the This week page, the home of the crew app.

  • It is a bar chart of your own hours per day, Monday to Sunday, for the current week.
  • Its heading shows the total, for example My hours this week: 38.50.
  • Under the heading it says Monday to Sunday. with the link Log hours. The link and each bar open the Log hours page.
  • With no hours yet it says No hours logged this week yet.
  • It counts draft, submitted and approved hours.

The card is only there for a person who can open Log hours. It is not on the page by default: it has to be added to the page first. See This week.

Notifications and emails

Notifications to you come in the bell at the top of the crew app. You get no email about your hours.

When Notification
The office approves your week Your hours for the week of (Monday's date) were approved
The office sends your week back Your hours for the week of (Monday's date) were sent back
  • One notification per week, however many days the week has.
  • The button Open Log hours opens that week. It is shown to a person who has the Crew role.
  • You get none when you approve or send back your own week yourself, and none while you are archived.
  • A subcontractor gets neither, because their week is never approved or sent back.

When you submit a week, FSMCore can email the office with your hours sheet attached. That email goes to the addresses the office listed for it, and only when your company has email notifications switched on. With no address listed, no email is sent. See The email when a week is submitted.

Withdrawing or clearing a week sends nothing to anyone.

What happens after

After you submit, as an employee

  • The week shows in Crew Time in the office. An owner, admin or supervisor approves it or sends it back.
  • Approved: the week is final and frozen. The hours that are on a job count as a labour cost of that job, at your hourly cost as it was at the moment of approval. A later pay change does not change them. See Approved weeks.
  • Sent back: the week is a Draft again, so you can correct it and submit it again. You get a notification in the bell and an amber box above the week with the office's note. Both the box and the note go when you submit the week again. See A week the office sent back.

After you submit, as a subcontractor

  • The week is final as Submitted. The office can see and print it, but never approves or rejects it.
  • Your hours are never counted as a job cost. Your cost to the company comes from your invoices.
  • You can still take the week back with Withdraw to draft.

Always

  • The office can set or change the job of your submitted and approved days. Nothing else about your hours can be changed by anyone but you.
  • Every change to hours is recorded: who changed what, and when.

Common mistakes

Log hours is not in my menu. Either Time tracking is switched off for your company, or you have no engagement type. Ask an owner or admin.

A day I filled in is gone. A day is kept only when both Start and End are filled in. A day with one time is not saved.

Hours shows 0.00 h. The End is earlier than the Start, or the break is longer than the time worked. A shift that runs past midnight cannot be logged as one day.

There is no Job field on a day. The office has not deployed you to a job on that day. The field is optional: log the hours anyway. The office can put them on a job after you submit.

The job I worked on is not in the list. The list only has the jobs you are deployed to on that day. Leave the field on No job and tell the office. They can set the job after you submit.

I cannot change anything, the days are grey. The week is Submitted or Approved. Press Withdraw to draft on a submitted week. An approved week cannot be changed.

There is no Withdraw to draft button. The week is approved, or it is still a draft.

Submit week says "Nothing to submit". The week has no saved draft hours. Check that each day has a Start and an End.

I submitted the wrong hours. Press Withdraw to draft, correct the days and submit again. If the week is already approved, tell the office.

I cannot find the hours sheet buttons. The week is Empty. They show as soon as the week has hours.

My hours sheet says DRAFT. The week is not submitted. Press Submit week, then print again.

I pressed Clear week by mistake. The draft hours of that week are deleted and cannot be brought back. Fill the week in again.
