Crew and deployments
How to put people on a job: the assigned workers, and the day by day crew deployments with their hours.
What it is for
There are two ways a person is linked to a job.
- Assigned workers is the list of people on the job. An assigned worker sees the job in the crew app.
- Crew deployments say which worker is on the job on which day, and from when to when. One row is one worker on one day.
A job itself has no time of day. The hours a worker is expected are the From and To of their deployment for that day. A worker can be deployed to several jobs on the same day.
Who can use it
| Role | What they can do |
|---|---|
| Owner, admin, supervisor | Set Assigned workers. Use Deploy crew and Add a day. Edit and delete deployments. |
| Crew | Nothing here. Crew see their jobs and days in the crew app. |
| Accountant | No access. |
Who can be picked
Assigned workers, Deploy crew and Add a day all offer the same people, sorted by name:
- Members of your company who are not archived.
- Not people whose only roles are admin, accountant, or both. They are office only.
- Owners, supervisors and crew are always listed. So is a person with no role.
- An admin or accountant whose engagement type is Employee or Subcontractor is listed too, because they work jobs.
If someone is missing from the list, check on their user record that they are not archived and give them the Crew role or an engagement type. See People.
Assign workers
- Open the job's edit form.
- In Assigned workers search for and pick each person.
- Click Save changes.
To take someone off the job, remove them from Assigned workers and save. Their deployment days are not removed by that. Delete those in Crew deployments.
You do not have to assign people first. Deploying a worker adds them to Assigned workers for you.
Deploy crew
Use this to put one or more workers on the job for a stretch of days.
- Open the job and scroll to Crew deployments.
- Click Deploy crew.
- Fill in the fields below.
- Check the To create line. It tells you how many rows will be made.
- Click Deploy.
You see Crew deployed with the number of rows created, for example "10 day-assignment(s) created. Existing days and the job's off-days were skipped."
What it does:
- It makes one row for each worker for each day from the From date to the To date.
- It skips the job's days off, the unticked days between the first and last working day.
- It skips days a worker is already deployed to this job. The existing row and its times are left alone.
- It adds the workers to the job's Assigned workers. Nobody is removed.
Deploy crew fields
| Field | What to enter |
|---|---|
| Workers | Required. One or more people. |
| From | Required. A date and a time. The date starts the range. The time is the start time of every day. Leave the time at 00:00 for a whole day deployment. It starts on the job's first working day. |
| To | Required. A date and a time. The date ends the range and cannot be before the From date. The time is the end time of every day. Leave the time at 00:00 for no end time. An end time, when you give one, must be after the start time. It starts on the job's last working day. |
| To create | Not a field. A live count, for example "This will create up to 10 deployment(s): 5 day(s) × 2 worker(s). Off-days and any existing days are skipped." Before you fill the form it says Pick workers and a From/To range. |
To put one person on for one day, set From and To to the same date. The end time is optional: give From a start time and leave the To time at 00:00 for a day with a start and no end. Dates are compared as dates and times as times, so this is accepted.
On a job with no working days ticked, From and To start empty.
Add a day
Use this to add one worker on one day, for example an extra day after the main stretch.
- In Crew deployments click Add a day. The form is headed Add a deployment day.
- Fill in the fields below.
- Click Submit.
You see Day added. If that worker already has that day on this job you see That worker is already deployed that day and the existing row is not changed.
Add a day does not check the job's days off. You can add a worker on a day that is not ticked as a working day.
The worker is added to the job's Assigned workers, like with Deploy crew.
Add a day fields
| Field | What to enter |
|---|---|
| Worker | Required. |
| Date | Required. It starts on the job's first working day. |
| From | Optional start time. Leave it blank for a whole day. |
| To | Optional end time. Leave blank for no end time. When both times are given, it must be after From. |
| Note | Optional. A short note for that day. |
From and To here are times only, with no seconds. They open your device's own time picker, which is the time wheel on a phone. Tap anywhere in the field to open it. Your device decides whether the time is shown on a 12 or 24 hour clock.
Edit a deployment
- In Crew deployments open the ⋮ menu of the row and click Edit. The window is named after the worker and the day, for example "Edit Tomasz Kowalczyk, 23/10/2026".
- Change From, To or Note. Blank times mean a whole day. To may stay blank when From is filled.
- Click Save changes.
Worker and Date are shown but cannot be changed, so a row is never moved onto another person or day by accident. To move a day, delete the row and add a new one.
Remove a day
This is how one worker gets a day off while the rest of the crew works.
- In Crew deployments open the ⋮ menu of the row and click Delete.
- The window, for example "Delete Tomasz Kowalczyk, 23/10/2026", says what happens: "Takes Tomasz Kowalczyk off this job on 23/10/2026. The day leaves their week in the crew app and the job is no longer offered for that day in Log hours. They stay on the job's crew, hours already logged keep their job and no message is sent. It cannot be restored: add the day again with Add a day if needed."
- Click Delete.
A deleted deployment is gone. It cannot be restored. Add the day again if it was a mistake.
The list
Crew deployments is a section on the job page and on the job's edit page. Rows are sorted by date, earliest first. With no rows it says No crew deployed yet and Use "Deploy crew" to assign workers across a date range.
Columns
| Column | What it shows |
|---|---|
| Date | The day, in your company's date format in numbers: "23/10/2026" for a company that writes the day first, "10/23/2026" for month first. Click the heading to sort. |
| Worker | The person's nickname, or their name when they have no nickname. |
| Time | All day when no times are set. With a start and an end, both times. With only a start, From 08:00. With only an end, Until 16:30. |
| Note | The first 50 characters of the note. A dash when there is none. You can hide this column in the column picker. |
The search box finds rows by the worker's name or nickname.
Row actions
The ⋮ menu of a row holds Edit and Delete.
Bulk actions
Tick several rows and choose Delete selected to remove them together. Use this to clear a wrong deploy over several weeks. The window says the same as a single delete: each worker leaves the job on those days in the crew app and in Log hours, stays on the job's crew, keeps the hours already logged, and gets no message.
What happens after
- A deployed worker is added to the job's Assigned workers and sees the job in the crew app, with the day's time window.
- A deployed worker gets a notification in the bell: You are deployed to (site), or the job title when the job has no site. The text names the job and the days, for example "Kitchen refit, 05/10/2026 to 07/10/2026 (3 days)." or "Kitchen refit, on 09/10/2026.". The button Open This week opens their week in the crew app. One Deploy crew sends each worker one bell for all the days it added for them. Add a day sends one bell for that day. No bell is sent for days that already existed, to yourself when you deploy yourself, or to an archived person. No email is sent.
- Putting a person in Assigned workers without deploying them sends no bell and no email.
- Deleting a deployment does not take the worker off Assigned workers.
- Every deployment that is added, changed or deleted is recorded: who did it and when.
- If RCT is switched on for your company and the job's site has no RCT SIN yet, a new deployment on that site sends the owners and admins a bell, RCT SIN missing, with an Add the SIN button. It is sent once per site. It comes again only when 7 days have passed, the SIN is still missing and there is new activity on the site. See Sites.
- Deployments help the office match a subcontractor's invoice lines to the right job when a site has more than one job.
Common mistakes
- Deploy crew created fewer rows than expected. Days off of the job and days the worker already had were skipped. The result message says so. Check the ticked working days on the job's edit form.
- Deploy crew created rows with no times. The time was left at 00:00, which means whole day. Edit the rows, or delete them and deploy again with times.
- "The To date must be on or after the From date." The To date is before the From date. Pick the same day or a later one.
- "The end time must be after the start time. Leave it empty for no end time." The end time is the same as or earlier than the start time. Give a later end time, or leave it empty (00:00 in Deploy crew). A shift that runs past midnight cannot be entered as one row.
- "That worker is already deployed that day". A worker has one row per job per day. Edit the existing row instead.
- A person is not in the Workers list. See Who can be picked.
- The times of an existing day did not change after a second Deploy crew. Existing days are never overwritten. Edit the row.
